ConsentTool is a digital tool that helps organisations collect and archive consent for the use of photo and/or video material in a professional and structured way. Participants fill in an online form, read the consent text and place a digital signature. A PDF document is automatically generated as archivable proof.
No. ConsentTool provides technology only. We are not lawyers, legal advisers or compliance experts. The standard texts are indicative only. The user is solely responsible for the content of the clause texts and the validity of the consents in their specific context. We recommend having texts reviewed by a lawyer or DPO.
The public form is available in Dutch, French and English. The language is detected automatically from the browser but can be changed manually. The admin interface is also fully available in all three languages.
Yes. Both the form and the admin are fully responsive. Participants can sign with their finger on a smartphone or tablet.
Projects & forms
A project is a distinct consent form with its own URL, branding and clause text. You can create as many projects as needed for different events or campaigns.
Yes. Per project, you can modify the clause text per language. Two options: add a supplement to the standard text, or write a fully custom text. Variables like %SUBJECT%, %ORG%, %USAGES% etc. are replaced automatically.
Yes. Per project: logo (PNG, JPG, SVG or WebP, max 5 MB) and primary colour. The logo appears in the form header and in the PDF.
An optional text shown at the top of the form before the consent text. Use it to give context about the event, organisation or purpose of the material. You can set a different description per language.
Digital signature & PDF
On step 3 of the form, the participant signs with mouse or finger on a signature pad. The signature is saved as an image and embedded in the PDF document.
The PDF includes: organisation and project name and logo, participant details (name, email, date of birth, language), project details (media type, usage context, validity period, contact details), the full clause text, the digital signature, and the date and time of signing.
Yes. After signing, a confirmation page appears with a download link for the PDF document.
Minors
Yes, if you enable it in the project settings. ConsentTool automatically detects participants under 18 and displays an extra block for parent/guardian details.
Step 1: parent/guardian block appears. Step 2: the clause is read. Step 3: two signature fields (minor + parent/guardian). The PDF contains both signatures.
Storage & credits
1 credit = 1 signed and saved form. A refusal costs no credit. When the balance reaches 0, the form is automatically blocked for new submissions.
By default 50 MB per organisation. Usage is shown as a progress bar in the sidebar. Above 100%, new PDF generation is blocked.
Privacy & data security
ConsentTool is designed with privacy in mind: IP addresses stored as SHA-256 hash only, random PDF filenames, anonymisation on request, data stored within the EU. The user acts as data controller and is fully responsible for GDPR compliance.
No. Personal data is not sold or shared with third parties.
